Here you find step-by-step guides on how to use different tools and functions of the DDLGN SharePoint environment. You can either watch a video, or download the instructions in PDF. The tutorials are organised into three difficulty-levels. Level 1 provides all members with the skills to interact on the DDLGN platform. Level 2 is for advanced users who are in charge of creating new webpages. These skills might come handy for DDLGN members who wish to know and do more on the platform. Level 3 is for administrators. - As the webpage evolves, so will the tutorials change and evolve. So come back from time to time and explore.

Register as a member
  • If you have a FDFA email address @eda.admin.ch send an email to christa.romagnini@eda.admin.ch and attach a photograph of yourself.
  • All others, please click HERE and follow the instructions.

Personalise your user profile
Filling out your profile is important. This will help your network colleagues to know more about you, making the online interaction more personal.
  • If you are logged in to DDLGN SharePoint page you see your name in the upper right hand corner.
  • Click on the small triangle next to your name.
  • Click My Settings.
  • Click Edit Item.
  • The video and the pritnted instructions give you further details on how to insert a profile picture.
 
Create a NEWS post
Post news or quick updates for your colleagues.
  • You need administrative rights to do this.
  • Under News click on create post in the box on your right.
  • Give your post a title. Then write your story.
  • Click Publish.
  • Your post will appear on the News and Home pages. They are public.
  • We have created other News channels. For example in CUG: here you can post news only accessible to members.
 
Create beautiful NEWS posts
Add pictures, documents and links to your post. Manage post categories.
  • You need administrative rights to do this.
  • Under News click on create post in the box on your right.
  • Follo the instructions in the guide here.

Collaborate on documents
Collaborate with your colleagues on documents such as Word, Excel, PowerPoint. No need to merge changes from different contributors.
  • Make sure you are logged in (CUG) or you havea access permission (Regional Exchange).
  • Under documents click on the white space to the right of the title Documents.
  • Two new tabs (Files and Library) open at the top of the web page. Click on Library.
  • Click on Open with Explorer.
  • A new folder window will open just like on your PC. Everything you do in this window, will be synced to ShareWeb.

Use the discussion forum
  • To start a new discussion, click on + new discussion.
  • Enter a title and write your question or input.
  • You can mark if your new thread is a question that begs for an answer.
  • Enter a category for your discussion thread.
  • To write a reply in an ongoing discussion thread use the reply field at the bottom of the thread.
 
Create video posts

With your smartphone

Recording a video message doesn't take much time. With your smartphone you are just a few clicks away from a message that will appear on the Home or CUG page. Try it out!

  • Open the YouTube App. on your smartphone.
  • Make sure you are logged into the DDLGN YouTube account.
  • Click on the video icon to record or upload a video.
  • Once you have recorded your video enter a title and description and upload your video.
  • Add your video to a playlist: Video news - internal if you want the video to appear on the CUG page; Video news - public if you want to display it on the Home page.
 
Make short videos

With your smartphone

This tutorial gives you practical tips on how to structure and record your message with a smart phone. The tutorial is divided into three parts:

  • How to structure your message.
  • What factors to keep in mind when filming.
  • How to make a video with visual elements that doesn't need any editing so that you can share it right away.

Add new members
For this action you need administrative rights. It takes 5 steps to register a new member:
  • First, the to-be member applies for a membership.
  • Second, you add him/her to the ShareWeb environment.
  • Third, you upload his/her profile picture.
  • Fourth, you create a profile on the DDLGN members’ list.
  • Finally, you add him/her to the DDLGN News email distribution list.

Upload documents to a page
For this action, you need administrative rights. The tutorial shows how to upload a document to a specific list on a page.
  • In the CUG Tab click on upload a document.
  • The document UploadMask will open.

Manage Members
Get an overview of the admin tools for member management. The tools are available only to administrators (CUG owners). - There is a separate tutorial on how to add a new member to ShareWeb.

Work with lists & content queries
You will learn how to work with Content Queries and Lists, to separate Data and Design in Sharepoint. This will allow you to have a «backend» through which you can make Data available and a «frontend», which shows the data in a nicely designed way.
  • Create a new «Custom List» in the Add an App - Section. Add all necessary columns and attributes to your items.
  • At the site, where your Items should appear create a new «Custom List» in the Add an App - section of the top right menu.
  • Open the settings of your content query webpart and choose the the location of the previously created List. You can add additional filters to sort out certain items of your custom list.
  • To change the presentation of the items in your content queary, you can add specific CSS-rules in the XSLT-sheet of your Shareweb-instance. By doing this, you can access all attributes of the previously created Custom List.
